‘’Things which matter most must never be at the mercy of things which matter least’’, Goethe.
How many days have you woken up in the morning with a vague sense of what you want to accomplish, only to find yourself disappointed at how little of what you had planned was actually accomplished? Many of us start our days very motivated and determined to reach our goals for the day, however we still fail to do so. Planning your day effectively can help you use your time efficiently and prioritise your things to do. thereby enabling you to accomplish what you had planned by the end of the day.
Planning and managing your day should be a habit, rather than simply a list of tasks to do. This can be done in three steps:
1. Setting a plan for the day: Before beginning to do anything, think about what would make your day highly successful and productive and write it down. Try to keep this linked to your long term picture or vision of success. This would include considering your different roles as an individual (at work, home, extra-curricular activities, etc) and identifying your goals for each of those roles. This would help you plan your day as part of your journey to individual and career success.
After identifying these goals, you should then prioritise them in terms of urgency and importance. It is more likely that you'll accomplish these goals if you have decided when and where you want to complete them and if you have assigned and scheduled a time slot for each. Make sure your goals are specific, measurable, achievable, and realistic and have a timeframe allocated for each of them (SMART).
2. Refocus yourself to the plan: Make it a point to check how far you’ve gotten and your progress every two to three hours. Ask yourself if you’ve used the past two hours productively and recommit yourself to the next two hours, reminding yourself of your long term vision that accomplishing these goals will get you closer to realising.
3. Review your plan: At the end of the day, review your plan and go over how effective it was. How did it work? What adjustments and changes do you have to make to make your plan more effective?
A check list that will help you in effectively planning your day is given below:
PLAN
• Guesstimate the time required to complete the task.
• Consider the dependency.
• Check the availability of the resources required.
TOOLS
• Use tools such as a To-Do List
• Use a calendar to mark the meetings/ target dates, etc.
PRIORITIZE
• Arrange the task and sub-tasks according to priority.
• For each task, set the priority level.
• Differentiate between urgent and important tasks.
SCHEDULE
• Schedule and set a limit for each and every task/sub-task.
• Schedule the tasks, which need to be done in advance.
Make sure when deciding upon an interview, meeting or training, you calculate the time taken to reach at the venue and then move on accordingly. If you find you cannot make it, be certain to inform the organisation of the same and to subsequently send a regret mail.
How we spend our time is a key strategic decision that contributes to a productive day. For this reason, setting a plan for the time you have in your day would be the most reliable tool to motivate yourself for using your time productively.
